How to get your file from Shopify

Best option: a monthly sales report. It has no customer names or addresses in it.

  1. In your Shopify admin, go to Analytics, then Reports, and open Sales over time (sometimes called Total sales over time).
  2. Set the dates to the last 24 months and show the report by month.
  3. Click Export and choose CSV. Add that file here.
Or use an orders export
  1. In Orders, filter by date to the last 24 months.
  2. Click Export, choose orders matching your search and CSV for Excel, Numbers, or other spreadsheet programs.

An orders export includes customer names and addresses. It still never leaves your device, but the sales report gives the same result without them.

What happens next

  • The check reads the file here, in your browser.
  • You see your turnover for each month, your rolling 12-month total, and whether you've passed £90,000.
  • If you have, you get your HMRC deadline and the date your registration takes effect.
Overseas fees, last 12 months

What you paid in total over the last 12 months to each company based outside the UK. For most UK stores that means Shopify, Meta and Google, which bill from Ireland. Each total is spread evenly across the months.

Why do fees I pay count as turnover?

When a UK business buys a service from a company outside the UK, HMRC treats it as if you had supplied that service to yourself. This is called the reverse charge. HMRC's rules on when to register for VAT list these services as part of your taxable turnover.

So money you spend can push you over the threshold. A store with £80,000 of sales that spent £12,000 on Meta ads over the year has a figure of £92,000, which is over £90,000.

Some invoices already show UK VAT, usually because the supplier treated you as a consumer. Including those fees gives you the cautious figure. An accountant can tell you whether to leave them out.

Where to find each figure

Shopify: Settings → Billing → Bills. Add up the last 12 months of bills for your plan, apps and transaction fees.

Meta: Ads Manager → Billing and payments → Payment activity. Set the dates to the last 12 months and read the total spent.

Google: Google Ads → Billing → Documents. Add up the last 12 monthly statements.

Other: other ads or software billed by companies outside the UK, such as TikTok Ads or an email tool. The supplier's address is on the invoice.

If your spend changes a lot through the year, for example heavy ads before Christmas, use "Enter fees month by month" below. It gives a more accurate date for when you crossed.

Sales on other platforms (optional)

Amazon, Etsy, eBay or anywhere else you sell. One typical monthly total each.
